Prepaid and Gift Cards

Overview

In the POS system, Prepaid refers to transactions where customers pay in advance for goods or services. It could be used as a Gift Card.

There are two types:
  • Prepaid/GiftThe merchant manually enters the prepaid code, compatible with physical prepaid gift cards.

    • ePrepaidA virtual prepaid code is automatically generated, functioning like a digital gift card.



Prerequisites

Create Prepaid or ePrepaid Items:

  1. Go to BO → Products → New Item → Inventory Item (if Matrix products is installed).

  2. In the General tab:
    1. Choose Prepaid as the item type.
    2. Fill in the necessary information.
    3. To enable ePrepaid, check the corresponding checkbox

  1. Go to POS → Synchronize to apply the changes.



Instructions

Issuance Prepaid

  1. Go to POS → Add Prepaid product to cart.

  2. Complete the purchase using Cash, Credit/Debit Card, or External payment.

  3. The Prepaid Issuance screen appears.

  4. Enter or scan by barcode scanner the 16-digit prepaid code.

Issuance ePrepaid

  1. Go to POS → Add ePrepaid product to cart.

  2. Complete the purchase using Cash, Credit/Debit Card, or External payment.

  3. Complete the sale.

  4. A prepaid code is automatically generated.

  5. The code can be printed or emailed to the customer.

Configuring Prepaid Options

Navigate to BO → Apps → Prepaid Program to configure:

  • Footer and name on ePrepaid receipts.

  • Expiration settings: Enable expiration and set the expiration range.



Tracking Prepaid Activity

  • POS:
    Navigate to ☰ → Prepaid → Scan or manually enter the prepaid or ePrepaid code.

  • Back Office (BO):
    Go to Reporting → Prepaid Report:

    • Select a time range and press Search.

    • To view a specific card's details, scan or enter the full prepaid code.

Additional Notes

  • Quantity cannot be changedTo sell multiple Prepaids, add each separately to the shopping cart.

  • Refund/VoidRequires entering the prepaid/ePrepaid code. Balance will be returned to the card.

  • Prepaid as a payment method:

    1. Add products to the cart.

    2. Go to All payments → Prepaid.

    3. Enter or scan the prepaid code.


  • TipsSupported for Prepaid payments (same as Cash/CC).

Salesperson Permissions

Two new permissions have been introduced in the Back Office → Employees → Permissions:

  1. Allow to sell prepaid card – Not active by default.

  2. Allow prepaid reprint – Not active by default.
